{"id":1077,"date":"2020-10-01T15:37:14","date_gmt":"2020-10-01T22:37:14","guid":{"rendered":"http:\/\/www.omtiblog.com\/reporterbase101\/?p=1077"},"modified":"2025-08-19T09:47:47","modified_gmt":"2025-08-19T16:47:47","slug":"send-invoices","status":"publish","type":"post","link":"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/billing\/send-invoices\/","title":{"rendered":"Send &#038; archive invoices"},"content":{"rendered":"<h6>Lesson #34<\/h6>\n<h5>Billing \u2013 Send Invoices function<\/h5>\n<p><strong>After posting invoices to your RB ledger, send clients copies of\u00a0their invoices and archive the invoices in the central repository.<\/strong><\/p>\n<p>You can access the Send Invoices function either directly from the main menu or when <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/billing\/post-invoices\/\">posting invoices<\/a>. <strong>When you post invoices, RB gives you the choice to send\/archive the invoices at the same time<\/strong> which automatically opens\u00a0the Send Invoices window with the posted\u00a0invoice(s) in the results pane.<\/p>\n<p>In Send Invoices you have a lot of options for finding posted invoices \u00a0\u2014 and more options for what you want to do with them. You can find the invoice(s) for a single job or use other search filters to find invoices for a date\/date range, a case, a Bill To firm, one or more invoice types, and\/or one or more business units in your company.<\/p>\n<p>Invoices in the results gird display their information in all of the search categories plus :<\/p>\n<ul>\n<li>Invoice amount<\/li>\n<li>Balance<\/li>\n<li>Date sent<\/li>\n<li>Method used to send the invoice<\/li>\n<li>Bill To clients<\/li>\n<li>Sold To clients<\/li>\n<li>Void date<\/li>\n<\/ul>\n<p>You can sort your results in the grid by one or more columns in ascending or descending order (but when you exit the function, RB will revert back to the default order). Export the list as an <em>Excel<\/em> spreadsheet or\u00a0a CSV (comma-separated values) file to save, print, share, or use in other applications.<\/p>\n<p>You can preview original and current versions of posted invoices with service items details visible or not. Then email either version to ordering clients or print them to send via traditional delivery methods. You do not have to choose which method to use for each client here. Contacts\u2019 preferred method of receiving invoices \u2014 email, print, or none \u2014 is stored in their RB database entry. The Send Invoices function will automatically send invoices via each contacts\u2019 preferred method, but you can override it for individual invoices when sending.<\/p>\n<h2>Emailing invoices<\/h2>\n<p>If you send invoices from RB9 via email and you have <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/plug-ins\/online-offices-for-clients-reporters-more\/\">RB Connect<\/a>, you can automatically include a Pay Invoice link in the invoice emails so when your clients click the link they will go directly to the invoice in their RB Connect office to pay the invoice online.<\/p>\n<p>When emailing invoices you can attach files from your desktop or your RB Witness-level Repository.<\/p>\n<p>If you email invoices, RB9 records the emails sent in the <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/tools\/view-emails-sent-from-within-rb9\/\">Email Log<\/a> function in Tools, so you can refer back to them later. It also makes an entry that includes the receiver\u2019s email address in the Notes Log of the sent invoices.<\/p>\n<p>You can archive original invoices to the Invoice-level repository here. With all options \u2014 send, print, or archive \u2014 you can select any or all invoices to process at the same time.<\/p>\n<p><strong>TL;DR: Send clients copies of\u00a0their original or current posted invoices and archive the invoices in the central repository.<\/strong><\/p>\n<h4>RB concepts in this lesson<\/h4>\n<p><strong>Bill To Contact\/Firm:<\/strong>\u00a0Contact\/Firm responsible for paying the invoice for a job.<\/p>\n<p><strong>Business Unit (BU):<\/strong>\u00a0One of your company\u2019s revenue centers or any\u00a0entity in your business that you want to track separately.<\/p>\n<p><strong>Notes Logs:<\/strong> Un-editable internal-use only notes entered either by a user or\u00a0automatically by RB appear in chronological logs in the database record where they occurred, such as a case, job, invoice, or entity. <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/what-is-a-notes-log-in-rb9\/\">More &gt;<\/a><\/p>\n<p><b>RB Connect:<\/b> Online repository, calendar, and access to your office for clients and resources. <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/plug-ins\/online-offices-for-clients-reporters-more\/\">More &gt;<\/a><\/p>\n<p><strong>Repository:\u00a0<\/strong>RB has 9 repositories where you store files for\u00a0safekeeping and quick retrieval.
