{"id":13,"date":"2020-09-04T14:00:28","date_gmt":"2020-09-04T21:00:28","guid":{"rendered":"http:\/\/www.omtiblog.com\/reporterbase101\/?p=13"},"modified":"2025-10-21T08:45:42","modified_gmt":"2025-10-21T15:45:42","slug":"jobs-list-view","status":"publish","type":"post","link":"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/jobs-list-view\/","title":{"rendered":"View your calendar as a list"},"content":{"rendered":"<h6>Lesson #4<\/h6>\n<h5>Calendar \u2013 Jobs (List View) function<\/h5>\n<p><strong>List View, as the name implies, displays your schedule as a list with important information about each job, such as date and time, client, and location, in a grid.<\/strong> You can also choose to view your schedule in a monthly calendar format (<a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/view-your-schedule-as-a-monthly-calendar\/\">Monthly View<\/a>) or a week at a glance (<a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/view-your-calendar-a-week-at-a-time\/\">Weekly View<\/a>).<\/p>\n<p>List View displays more information about jobs in your schedule than other views with 21 fields for each listing, so you don\u2019t have to click into individual jobs to find most relevant information. It also has more search criteria so you can refine which jobs are shown.<\/p>\n<h4>The default List View is all jobs for tomorrow. It displays:<\/h4>\n<ul>\n<li>Job number<\/li>\n<li>Date<\/li>\n<li>Start and end times<\/li>\n<li>Time zone<\/li>\n<li>Location<\/li>\n<li>Job status<\/li>\n<li>Job type<\/li>\n<li>When the job was last updated<\/li>\n<li>Witness<\/li>\n<li>Ordering client<\/li>\n<li>Who scheduled the job<\/li>\n<li>Job\u00a0task(s) &amp; assigned resource(s)<\/li>\n<li>Related case<\/li>\n<li>Type of case<\/li>\n<li>Your assigned business unit<\/li>\n<li>Sales rep<\/li>\n<li>Your custom notation<\/li>\n<\/ul>\n<h4>List View search criteria are:<\/h4>\n<ul>\n<li>Job Number<\/li>\n<li>Job Date range<\/li>\n<li>Ordering Firm\/Contact<\/li>\n<li>Attending party (firm\/contact)<\/li>\n<li>Scheduling Contact (Scheduled By)<\/li>\n<li>Job Status(es)<\/li>\n<li>Job Type(s)<\/li>\n<li>Witness<\/li>\n<li>Business Unit(s)<\/li>\n<li>Sales Representative<\/li>\n<li>Case<\/li>\n<li>Case Type(s)<\/li>\n<li>Parent Firm<\/li>\n<li>Job Location<\/li>\n<li>Job Location City<\/li>\n<li>Job Location State(s)<\/li>\n<li>Job Entered Date range<\/li>\n<li>Notation<\/li>\n<\/ul>\n<h2>Customize how you view your job listings<\/h2>\n<p>Group jobs by one or more parameters to more easily see the job information you want to know. For example, you could group jobs by Job Status, then Job Date to find your calendar priorities quicker. You can add additional grouping categories to the results, remove any grouping category, and re-arrange the grouping order.<\/p>\n<h4>You can also:<\/h4>\n<ul>\n<li>Re-arrange the columns so the most important information is most prominent.<\/li>\n<li>Stick up to 10 columns to the left side of the grid so they do not scroll when you have a results grid wider than your screen.<\/li>\n<li>Stretch\/shrink columns to fit the results.<\/li>\n<li>Hide columns you don\u2019t need to see.<\/li>\n<li>Choose which column(s) to sort results by.<\/li>\n<li>If you select more than one column, choose in what column order to sort the list.<\/li>\n<li>Choose whether to sort info by ascending or descending order in each selected column.<\/li>\n<li>Save your custom grid as your default.<\/li>\n<\/ul>\n<p>You can save your personal grouping parameters and custom grid as your default. Your customizations do not affect other users, and you can restore the original RB9 grid layout anytime.<\/p>\n<p>On a system wide basis, you can make additional customizations. Listings in List View are color coded based on their job status. You can <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/lists\/#jobs\">create your own job statuses<\/a> (RB9 comes with a set of defaults to get you started), plus <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/set-calendar-module-preferences\/#color\">designate which color each status has<\/a>.<\/p>\n<h2>From the calendar, you can:<\/h2>\n<ul>\n<li>Export the list as an <em>Excel<\/em> spreadsheet or\u00a0a CSV (comma-separated values) file to save, share, print, or use in other applications.<\/li>\n<li>Add a new <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/jobs-concept\/\">job<\/a>.<\/li>\n<li>View\/update\/cancel\/reschedule existing jobs.<\/li>\n<li>Send job confirmations.<\/li>\n<li>Change the status of a job.<\/li>\n<li>Send a <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/resource-blast\/\">Resource Blast<\/a> for a job in the list.<\/li>\n<li>Begin <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/production\/turning-in-transcripts-preparing-invoices\/\">turning in<\/a> a job.<\/li>\n<\/ul>\n<p><strong>TL;DR:\u00a0List View provides the most information on a single screen about all of the jobs displayed. If you want to search your calendar by job number, a date range other than monthly, or witness, use List View.<\/strong><\/p>\n<h4>RB9 concepts in this lesson<\/h4>\n<p><strong>Business Unit (BU):<\/strong>\u00a0One of your company\u2019s revenue centers or any\u00a0entity in your business that you want to track separately.<\/p>\n<p><strong>Case Type:<\/strong>\u00a0Categories of cases by work type, e.g., Civil or Personal Injury.<\/p>\n<p><strong>Contact:<\/strong> Person who works for a firm you do business with.<\/p>\n<p><strong>Firm:<\/strong>\u00a0Company you do business with, such as a law firm that schedules depositions with you.<\/p>\n<p><strong>Jobs<\/strong>\u00a0Usually the reporting of a deposition, but can also be any kind of service you provide with your reporters or other resources. <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/jobs-concept\/\">More &gt;<\/a><\/p>\n<p><strong>Job Entered Date From\/To<\/strong>: Date range of when a job was added to the calendar, not when the job is scheduled to occur.<\/p>\n<p><strong>Job Status:<\/strong> Stage the job is in, e.g., New or Cancelled.<\/p>\n<p><strong>Job Type:<\/strong>\u00a0Category of jobs requested by clients,\u00a0such as Deposition or Real-Time.<\/p>\n<p><strong>Notation:<\/strong> Short codes you create yourself to give key information about a job (such as \u201cV\u201d for video,\u00a0\u201cRT\u201d (for realtime), \u201c1 of 2,\u201d or \u201cDaily\u201d) in a results grid, so you don\u2019t have to click into a job\u2019s detail window.<\/p>\n<p><b>Ordering Contact:\u00a0<\/b>Contact at the firm that is\u00a0responsible for a job with your company.<\/p>\n<p><b>Ordering Firm:\u00a0<\/b>Firm that is\u00a0responsible for a job with your company.<\/p>\n<p><b>Scheduled By:\u00a0<\/b>Contact who initiates a jobs with your company.
