{"id":228,"date":"2020-11-17T17:07:20","date_gmt":"2020-11-18T01:07:20","guid":{"rendered":"http:\/\/www.omtiblog.com\/reporterbase101\/?p=228"},"modified":"2026-02-01T15:44:54","modified_gmt":"2026-02-01T23:44:54","slug":"locations","status":"publish","type":"post","link":"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/entities\/locations\/","title":{"rendered":"Locations are places\u00a0where jobs occur"},"content":{"rendered":"<h6>Lesson #109<\/h6>\n<h5>Entities \u2013 Locations function<\/h5>\n<p>Locations are places\u00a0where depositions and other jobs occur.\u00a0<strong>Enter locations into RB\u2019s database instead of re-keying location information each time.<\/strong> Automatically include driving directions in reporter worksheets and store location-relevant files \u2014 like Patient Authorization Forms for doctor\u2019s offices and hospitals \u2014 in their own repository.<\/p>\n<h2>When is a location not a \u2018Location\u2019<\/h2>\n<p>When entering locations into RB you don\u2019t necessary enter all job locations into the Location database. There are some important exceptions:<\/p>\n<ul>\n<li><strong>Law firms and courts<\/strong> should be entered in RB as <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/entities\/firms-are-your-clients\/\">firms<\/a> \u2013 so you can maintain accurate profiles of them and use them in RB correctly.<\/li>\n<li><strong>Your own conference rooms<\/strong> should be entered as <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/entities\/resources\/\">resources<\/a> \u2013 so that you can schedule them like you do reporters and other resources.<\/li>\n<li><strong>One-off job locations<\/strong> that you know you won\u2019t need again can be entered directly into jobs without setting them up as locations first.<\/li>\n<\/ul>\n<p>When scheduling jobs, RB allows you to select job locations from a variety of sources \u2014 including your firms and resources tables \u2014 so you should only enter locations in the Locations function that do not fit the other categories. Use this function for other recurring locations, such as:<\/p>\n<ul>\n<li>Hospitals<\/li>\n<li>Private residences<\/li>\n<li>Doctors\u2019 offices<\/li>\n<li>Schools<\/li>\n<\/ul>\n<p>If there is something you want to remember about a location \u2014 whether it\u2019s contact info, location directions, warnings, or anything else \u2014 store it in their RB listing.<\/p>\n<h2>Add locations to your database<\/h2>\n<p>You can enter locations in this function \u2014 or add them on the fly within a case or job.<\/p>\n<p>Before entering a location into RB, check to see if they are already there to avoid duplicate entries. RB does not prevent you from adding multiple instances of the same location. If there are duplicate entries, you can merge them \u2014 however, not all data will carry over from the location that is being merged. The only information that will be saved from the merged entry is from the Tags, Repository, and Notes Log panes.<\/p>\n<h2>Search for locations<\/h2>\n<p>To find locations in your RB database, you can use the search criteria \u2014 singly or in combination:<\/p>\n<ul>\n<li>Location Name or a\/k\/a (also known as)<\/li>\n<li>City<\/li>\n<li>State (one, several, or all)<\/li>\n<li>Zip code<\/li>\n<li>Location Type (one, several, or all)<\/li>\n<li>Tag<\/li>\n<li>Active locations only or all<\/li>\n<\/ul>\n<p>Each listing displayed in the Locations results shows all of this info except any tags \u2014 and includes the location\u2019s street address and any warnings about the location. You can sort your results in the grid by one or more columns in ascending or descending order (but when you exit the function RB will revert back to the default order).<\/p>\n<p>From the Locations results grid you can view and update any listed location\u2019s details, add new locations, and export the grid as an <em>Excel<\/em> spreadsheet or\u00a0a CSV (comma-separated values) file to save, print, share, or use in other applications.<\/p>\n<h2>Basic location information<\/h2>\n<p>Whether you are viewing an existing location listing or adding a new location, the detail window is broken up into a series of panes that contain related fields. The first pane, General, contains the location\u2019s contact information, directions to the location, other basic information, and any warnings.\u00a0<strong>When entering a new location, the only required information is the location name.<\/strong><\/p>\n<h3>Other General information tips<\/h3>\n<p>If you commonly refer to the location by another name, include that alias in the a\/k\/a (also known as) field. When looking up the location, you can search by the alias instead of the location name. In search results the alias will appear in parentheses after the location name.<\/p>\n<p>If you are entering the location\u2019s\u00a0street address or P.O. box number, skip the other address fields and enter the zip code. RB will fill in the city, state, and country for you.<\/p>\n<p>If you have entered the location\u00a0address, you can view maps and directions to the address in RB.\u00a0You can also add your own directions to the location\u2019s listing. Any instructions entered here will appear in the Directions field of a job when the job will be at this location.<\/p>\n<p>If you have information about a location that users should know when scheduling jobs, enter those notes in the Warning field. This information appears in red under Location Warning in jobs.<\/p>\n<p>If you are no longer scheduling jobs at a location and you do not need to contact them anymore, you can deactivate their listing instead of deleting it so you retain all of your historical data about the location but it will no longer appear in searches for active locations anymore.<\/p>\n<h2>After initial setup, add more information<\/h2>\n<p>Once you save a location in RB, additional panes, fields, and functions become available. You can:<\/p>\n<ul>\n<li>Enter more information.<\/li>\n<li>Update existing information.<\/li>\n<li>Merge locations\u00a0if you find duplicates.<\/li>\n<\/ul>\n<p>You don\u2019t have to go into the Locations function to update a location listing. Most RB functions that include a location field allow you to directly access that location\u2019s\u00a0listing, which you can view and edit.<\/p>\n<p>Also if you have multiple locations that you need to update the location type for, you can use <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/tools\/globally-update-settings-for-jobs-entities\/\">Bulk Update<\/a> to change them all at once.<\/p>\n<p>Additional panes in saved location listings include:<\/p>\n<h3>Tags<\/h3>\n<p>If you use tags (keywords or phrases) to monitor and send mass mailings to locations, you add tags to location listings \u2014 either by keying in tags or selecting them from the tag list you made in <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/lists\/\">Lists<\/a>. Each location can have an unlimited number of tags and you can delete tags from a location when they no longer apply. (You can also use the <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/tools\/target-your-marketing-for-better-results\/\">Tag Manager<\/a> to add or remove tags from multiple locations at once.)<\/p>\n<h3>Repository<\/h3>\n<p>Keep files related to the location in your RB database. When viewing an individual location, you can see the description of any uploaded files in the repository panel without having to click into each file\u2019s details. You can upload, download, or delete files here \u2014 and update file information such as file type and description.<\/p>\n<h3>Notes Log<\/h3>\n<p>The system enters some notes about locations automatically in their individual Notes Logs, and you can also enter notes yourself about a location in their Notes Log for internal purposes.
