{"id":23,"date":"2020-09-04T14:10:53","date_gmt":"2020-09-04T21:10:53","guid":{"rendered":"http:\/\/www.omtiblog.com\/reporterbase101\/?p=23"},"modified":"2026-03-30T11:40:43","modified_gmt":"2026-03-30T18:40:43","slug":"tasks-list-view","status":"publish","type":"post","link":"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/tasks-list-view\/","title":{"rendered":"Manage job tasks in a comprehensive list view"},"content":{"rendered":"<h6>Lesson #7<\/h6>\n<h5>Calendar \u2013 Tasks (List View) function<\/h5>\n<p>In RB9 <strong>when you schedule a <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/jobs-concept\/\">job<\/a>, you <span class=\"special\">include any services requested \u2014 reporting, interpreting, video, conference room, etc. \u2014 as <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/what-is-a-task-in-rb9\/\">tasks<\/a> in the job, not as separate jobs.<\/span><\/strong> That way if the job is canceled, all of the tasks are canceled too and nothing gets overlooked. You can also cancel individual tasks from a job without it affecting the rest of the job.<\/p>\n<h2>Monitor tasks<\/h2>\n<p>You can use either Tasks (List View) or <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/tasks-monthly-view\/\">Tasks (Monthly View)<\/a> to monitor tasks to see if they have been entered, assigned, and acknowledged. In List View you can see at a glance this information and other basic job information in the main window.<\/p>\n<p>The job status for each task is listed and color coded for easy recognition. RB9 comes with default sets of tasks and job statuses which you can <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/lists\/#jobs\">customize by adding, editing, and deleting entries<\/a>. You can also choose which colors represent different job statuses \u2014 including different colors for light or dark mode displays \u2014 in <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/set-calendar-module-preferences\/#color\">System Preferences<\/a>.<\/p>\n<p>In either Tasks function you can:<\/p>\n<ul>\n<li>Add tasks. Tasks can have different time frames than their related jobs.<\/li>\n<li>Assign tasks to resources.<\/li>\n<li>Delete tasks (if no resource has been assigned).<\/li>\n<li>Remove assigned resources.<\/li>\n<li>Re-assign tasks.<\/li>\n<li>Cancel tasks (RB9 will prompt you to send the resource an assignment cancellation notice).<\/li>\n<\/ul>\n<p>When you change a task\u2019s start or end time \u2014 or assign or remove a resource \u2014 RB9 will record the details in the related job\u2019s Notes Log.<\/p>\n<p>In Tasks (List View) you can use shortcuts from the list of tasks to:<\/p>\n<ul>\n<li>Add a new task to the job.<\/li>\n<li>View the task.<\/li>\n<li>Go directly to the task\u2019s Edit Task panel in its job.<\/li>\n<li>Record the current date and time as when the assigned resource acknowledged the job.<\/li>\n<li>Remove the date and time listed in the Acknowledged Date column.<\/li>\n<\/ul>\n<h2>Viewing tasks in a list<\/h2>\n<p>The default task list shows all of tomorrow\u2019s tasks in a grid that includes:<\/p>\n<ul>\n<li>Task\u2019s name, status, and any notes about the task<\/li>\n<li>Order date and canceled date<\/li>\n<li>Related job number, date, start &amp; end times, notation, status, location, type<\/li>\n<li>Task start &amp; end times if different from job\u2019s start &amp; end times<\/li>\n<li>Assigned resource, when they were notified, and when they acknowledged<\/li>\n<li>Ordering client<\/li>\n<li>Related case<\/li>\n<li>Assigned business unit<\/li>\n<li>Witness<\/li>\n<\/ul>\n<p>Use search criteria to refine the list of tasks shown. Search criteria in List View include:<\/p>\n<ul>\n<li>Date type and date range<\/li>\n<li>Task type and status<\/li>\n<li>Assigned resource<\/li>\n<li>Job\u2019s priority level<\/li>\n<li>Type of resource required<\/li>\n<li>Job number, status, and type<\/li>\n<li>Your company\u2019s business unit<\/li>\n<li>Related case<\/li>\n<li>Include canceled tasks or not<\/li>\n<\/ul>\n<h2>Customize how you view tasks lists<\/h2>\n<p>The grid in which you view task lists is customizable to your individual preference:<\/p>\n<ul>\n<li>Re-arrange the columns so the most important information is most prominent.<\/li>\n<li>Stick up to 10 columns to the left side of the grid so they do not scroll when you have a results grid wider than your screen.<\/li>\n<li>Stretch\/shrink columns to fit the results.<\/li>\n<li>Hide columns you don\u2019t need to see.<\/li>\n<li>Choose which column(s) to sort results by.<\/li>\n<li>If you select more than one column, choose in what column order to sort the list.<\/li>\n<li>Choose whether to sort info by ascending or descending order in each selected column.<\/li>\n<\/ul>\n<p>You can save your custom grid as your default. Your customizations do not affect other users \u2014 and you can restore the original RB9 grid layout anytime.<\/p>\n<p>From the results grid you can view and update any listed task\u2019s details, add new tasks to listed jobs, and export the grid as an <em>Excel<\/em> spreadsheet or a CSV (comma-separated values) file to save, share, print, or use in other applications.<\/p>\n<h2>Manage tasks<\/h2>\n<p>You can manage tasks in either Tasks function:<\/p>\n<ul>\n<li>Add an overlooked task to a job.<\/li>\n<li>Enter start and end times for a task that are different from its related job.<\/li>\n<li>Assign a resource to a task which RB9 records in the task\u2019s Notes Log. If the scheduling client has preferred resources they appear at the top of the resource list. If the scheduling client has a list of blocked resources RB9 will alert you if you attempt to assign one and not allow the assignment. When a resource is assigned any warning about them in their RB9 listing appears beneath their name in the Task panel.<\/li>\n<li>Notify resources when they are assigned.<\/li>\n<li>Remind resources of assignments by resending notifications.<\/li>\n<li>Automatically record the current date and time when a task was acknowledged by a resource.<\/li>\n<li>Remove a task\u2019s acknowledged date and time with one click if a mistake was made.<\/li>\n<li>Update the related job\u2019s information including notes, contact information, location, and parties.<\/li>\n<li>Remove a resource from a task which RB9 records in the task\u2019s Notes Log.<\/li>\n<li>Upload task-related files to a task\u2019s repository for assigned resources to download.<\/li>\n<li>Update a task \u2014 such as setting resource acknowledgements\u2019 date and time manually or entering page estimates. If you change a task\u2019s start or end time RB9 will record the details in the related job\u2019s Notes Log.<\/li>\n<li>Delete a task if no resource has been assigned.<\/li>\n<li>Cancel a task if a resource has been assigned.<\/li>\n<li>Reactive a canceled task and assign a new resource (you can cancel and reactive a task in one click if you are reassigning resources).<\/li>\n<li>Begin production <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/production\/turn-in\/\">turn-in<\/a>.<\/li>\n<\/ul>\n<p>When you cancel a task <span class=\"special\">the assigned resource is automatically added back to your available resources<\/span> list for new assignments and RB9 prompts you to alert the resource of the cancellation. In addition RB9 keeps track of when tasks were canceled. This will be helpful in cases where there is a cost incurred in late cancellations, such as a hotel\u2019s conference room: You will have a paper trail to <span class=\"special\">back up any cancellation fees charged to your client.<\/span><\/p>\n<h2>List View vs. Monthly View<\/h2>\n<p><strong>Tasks (List View)<\/strong>\u00a0shows the most information about tasks in the results, you can customize how the results are displayed, and it has more search criteria than Monthly View plus shortcuts to creating new tasks and setting\/clearing task acknowledgements. List View will also display jobs that do not have tasks yet (such as \u201cRequest New\u201d jobs from <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/plug-ins\/online-offices-for-clients-reporters-more\/\">RB Connect<\/a>).<\/p>\n<p><strong><a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/tasks-monthly-view\/\">Tasks (Monthly View)<\/a><\/strong>\u00a0is similar to\u00a0<a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/jobs-monthly-view\/\">Jobs (Monthly View)<\/a>\u00a0and displays jobs by job number in a calendar page format so you can see your work schedule at a glance. Monthly View only displays jobs that have tasks and displays limited information in the calendar page. Rolling over a job number pops up basic information about the task, job, and case.<\/p>\n<p>In both views clicking a displayed item opens the job detail screen with the View Task panel already open so you can see complete task details and edit if needed.<\/p>\n<p><strong>TL;DR: Use the Tasks (List View) function to monitor and manage tasks in a grid layout that shows the most task information at a glance. List View also has the most search criteria for finding tasks.<\/strong><\/p>\n<h4>RB9 concepts in this lesson<\/h4>\n<p><strong>Blocked Resource:<\/strong> Resource that a particular firm or contact does not want assigned to tasks on jobs they schedule or order from you.<\/p>\n<p><strong>Business Unit (BU):<\/strong> One of your company\u2019s revenue centers or any entity in your business that you want to track separately \u2014 such as branch offices, other companies you own, affiliates, and profit-sharing operations.<\/p>\n<p><strong>Job:<\/strong> Usually the reporting of a deposition but can also be any kind of service you provide with your reporters or other resources. <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/jobs-concept\/\">More &gt;<\/a><\/p>\n<p><strong>Job Status:<\/strong> Stage a job is in, e.g., New or Cancelled.
