{"id":27,"date":"2020-09-04T14:14:11","date_gmt":"2020-09-04T21:14:11","guid":{"rendered":"http:\/\/www.omtiblog.com\/reporterbase101\/?p=27"},"modified":"2025-10-21T08:48:33","modified_gmt":"2025-10-21T15:48:33","slug":"resource-availability","status":"publish","type":"post","link":"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/resource-availability\/","title":{"rendered":"Give resources time off or extra hours"},"content":{"rendered":"<h6>Lesson #8<\/h6>\n<h5>Calendar \u2013 Resource Availability function<\/h5>\n<p>When a resource wants to take a vacation or a personal day \u2014 or if they want to pick up extra hours of work outside their normal schedule \u2014 use Resource Availability to <strong>view their schedule, then quickly add or remove time for specific days.<\/strong><\/p>\n<p>The default view in Resource Availability is all resources\u2019 work schedules for today. (Resources\u2019 regular work schedules are set up in their <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/entities\/resources\/#schedule\">individual listings<\/a>.) Work schedules are color coded so you can track resources\u2019 schedules in a glance by assigned periods, available\/unavailable times, and time off.<\/p>\n<h2>Search for a resource<\/h2>\n<p>Use any of the search criteria to narrow your search to find a particular resource\/resources:<\/p>\n<ul>\n<li>Date range<\/li>\n<li>A resource\u2019s name<\/li>\n<li>One or more Priority Levels<\/li>\n<li>One or more Resource Types<\/li>\n<li>One or more Specialties<\/li>\n<li>Text in time-off notes\/comments<\/li>\n<\/ul>\n<p>You can sort your results in the grid by one or more columns in ascending or descending order but when you exit the function RB will revert back to the default order. Export the list as an <em>Excel<\/em> spreadsheet to save, share, use in other applications, or print as a report.<\/p>\n<h2>Include notes about time off<\/h2>\n<p>When granting time off you can include reasons for it and any notes or comments about it for your records. Resource Availability will display this information in the search results.<\/p>\n<h2>Quickly change a resource\u2019s schedule<\/h2>\n<p>Use the Change Availability option to add time to resources\u2019 schedules when they are willing to work extra hours for a month \u2014 or quickly block out time off for a resource if you do not need to keep track of the reason.<\/p>\n<p>During\u00a0a resource\u2019s scheduled time off \u2014 whether it\u2019s their regularly scheduled time off or time off added here \u2014 the resource\u2019s name will not appear in the list of available resources when\u00a0assigning <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/what-is-a-task-in-rb9\/\">tasks<\/a>. If you try to assign a resource in <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/quick-assignments\/\">Quick Assignments<\/a> who is not available, it will alert you so you can pick a different resource or override the resource\u2019s time off.<\/p>\n<p><strong>TL;DR: Set up resources\u2019 regular work schedules in their individual records in RB, then use Resource Availability for one-off changes \u2014 such as vacations or availability outside of their normal working hours.<\/strong><\/p>\n<h4>RB concepts in this lesson<\/h4>\n<p><strong>Priority Level:<\/strong> Order of selection preference for resources.
