{"id":282,"date":"2021-10-11T12:26:17","date_gmt":"2021-10-11T19:26:17","guid":{"rendered":"http:\/\/www.omtiblog.com\/reporterbase101\/?p=282"},"modified":"2026-04-14T08:47:21","modified_gmt":"2026-04-14T15:47:21","slug":"approve-time-off","status":"publish","type":"post","link":"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/connect\/approve-time-off\/","title":{"rendered":"Approve or deny resources\u2019 online time-off requests"},"content":{"rendered":"<h6>Lesson #144<\/h6>\n<h5>Connect \u2013 Approve Time-Off function<\/h5>\n<p>If you allow it, resources can submit time-off requests through <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/plug-ins\/online-offices-for-clients-reporters-more\/\">RB Connect<\/a> and <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/plug-ins\/rb-connect-mobile\/\">RB Connect Mobile<\/a> (RBCM). Requests can be for any time frame \u2014 from a few hours for a doctor\u2019s appointment, to a personal day, a long vacation, or a semester of classes that repeat at a specific time for a set period. Resources can provide all the details needed for you to make a decision in their requests. <strong>Use the Approve Time-Off function to manage time-off requests made online.<\/strong><\/p>\n<p>Give resources access to the Availability function in RB Connect; then <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/connect\/set-preferences-that-cover-rb-connect-resource-side\/#availability\">set preferences<\/a> for:<\/p>\n<ul>\n<li>How soon in advance resources must make their requests.<\/li>\n<li>What your email responses to requests say.<\/li>\n<li>Who on your staff will be alerted when a time-off request comes in. The staff you list here can use this function whenever they are alerted to a request or as fits their work process to view and approve or deny time-off requests received online.<\/li>\n<\/ul>\n<h2>Manage online time-off requests<\/h2>\n<p>The default view is all outstanding requests, so you can quickly get to work resolving time-off requests. You can restrict the results to see requests pending from a single resource, and\/or requests for a specific time period. You can also view requests with other statuses: Approved, Cancelled (by resource), and\/or Denied.<\/p>\n<p>The results list all requests that fit your search criteria. Each listing includes:<\/p>\n<ul>\n<li>Resource\u2019s name<\/li>\n<li>Type of request<\/li>\n<li>Request\u2019s current status<\/li>\n<li>Date(s) and times the resource is requesting<\/li>\n<li>Resource\u2019s reason for the request and any further explanation<\/li>\n<li>When the request was made<\/li>\n<li>Who last acted on the request and at what time<\/li>\n<\/ul>\n<p>You can sort your results in the grid by one or more columns in ascending or descending order (but when you exit the function, RB9 will revert back to the default order). Export the results as an <em>Excel<\/em> spreadsheet or\u00a0a CSV (comma-separated values) file to save, share, print, or use in other applications.<\/p>\n<p>To grant a resource\u2019s request, you only have to click the resource\u2019s hyperlinked name, then click Approve. If there is a schedule conflict \u2014you tried to approve a resource\u2019s time-off request for a time when the resource has already been assigned a task \u2014 a warning window appears and RB9 does not allow you to approve the request. If no warning appears the request is approved, RB9 updates the request\u2019s status, and notifies the resource via email and in their RB Connect Availability window\u2019s Time-Off panel.<\/p>\n<p>If you select Deny instead \u2014 to turn down the resource\u2019s request \u2014RB9 requires you to enter a comment\/explanation before you can complete the denial. Then RB9 updates the request\u2019s status and notifies the resource via email and in RB Connect.<\/p>\n<p>The Approve Time-Off function is limited to viewing, approving, and denying time-off requests made through RB Connect\/RBCM only. If you need to make any changes to a time-off schedule or want to manage\/monitor all time-off requests, use\u00a0<a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/give-resources-time-off-or-extra-hours\/\">Resource Availability<\/a>. You can view any resource\u2019s schedule and planned time off, and change their schedule \u2014 adding or reducing hours of availability and time off.<\/p>\n<p>If you have RB Connect and allow resources to use it to request time off, Approve Time-Off is a faster way to approve\/deny requests than Resource Availability because the resource has already entered all of the request details \u2014 plus RB9 will notify you as soon as a request is made.<\/p>\n<p><em>NOTE: This is an RB9 Standard-only function.
