But it can be <strong>any kind of service you provide with your resources \u2014<\/strong> such as realtime, videoconferencing, or read &amp; sign. You might also have further distinctions \u2014 such as conference room or document production only \u2014 to categorize jobs. A default list of job types is included in RB9 that you can customize to fit your business.<\/p>\n<p>You do not have to set up separate jobs if a client has requested multiple services for the same time and place \u2014 such as a court reporter and an interpreter for a single depo. You can designate the services as separate <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/what-is-a-task-in-rb9\/\">tasks<\/a> in one job and bill them on a single invoice.<\/p>\n<h3>Jobs can be set up as:<\/h3>\n<ul>\n<li><strong>Single events \u2014<\/strong>\u00a0including Zoom meetings as stand alone events or as hybrid meetings with some attendees in person and others remote<\/li>\n<li><strong>Linked jobs \u2014<\/strong> commonly used for videotaped depositions where you want to bill the video separately<\/li>\n<li><strong>Series of jobs<\/strong> at once<\/li>\n<li><strong>Part of an ongoing case<\/strong> so they share case information<\/li>\n<\/ul>\n<p>If you have <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/plug-ins\/online-offices-for-clients-reporters-more\/\">RB Connect<\/a>, your clients can send you job requests for a single event or a series of jobs that import directly into RB9. Clients can include detailed information about the job \u2014 even upload related files \u2014 and it all imports into RB9 with no re-keying on your part.<\/p>\n<p>When setting up a job RB9 provides alerts and guides. For example if a client\u2019s invoices are past due, you can have RB9 pop up an alert with the total overdue amount and days past due so you can address it immediately. Another example is when scheduling Zoom meetings if the host account has a scheduling conflict between an existing Zoom meeting and the one you are scheduling, RB9 will alert you.<\/p>\n<h2 id=\"info\">Job information in RB9<\/h2>\n<p>When setting up a job <strong>the minimum amount of information needed is who is ordering the job, job date, and time (including time zone).<\/strong> However there is a great deal more information that can be included in any job.<\/p>\n<p>Information about each job is organized into 10 sections.<\/p>\n<h3><strong>General<\/strong><\/h3>\n<p>Section fields include:<\/p>\n<ul>\n<li>Job number, date, and times \u2014 also zone and daylight savings adjustment<\/li>\n<li>Job Status<\/li>\n<li>Business Unit<\/li>\n<li>Witness \u2014 and whether subpoenaed, expert, and what kind<\/li>\n<li>Job Type<\/li>\n<li>Case and any case warning \u00a0\u2014includes link to complete case information<\/li>\n<\/ul>\n<h3><strong>Client<\/strong><\/h3>\n<p>Section fields include:<\/p>\n<ul>\n<li>Scheduling Firm and Contact \u2014 includes links to complete firm and contact information<\/li>\n<li>Ordering Firm and Contact \u2014 includes links to complete firm and contact information<\/li>\n<li>Firm and Contact warnings<\/li>\n<li>Firm and Contact calendar notes<\/li>\n<\/ul>\n<h3><strong>Job Location<\/strong><\/h3>\n<p>Section fields include:<\/p>\n<ul>\n<li>Location Type (the ordering firm\u2019s location, a different firm location, a location from your database, one of your company\u2019s locations; a resource location \u2014 such as your conference room, or a one-off address you enter manually)<\/li>\n<li>Location name, address, and phone \u2014 includes links to complete location information and map<\/li>\n<li>Directions<\/li>\n<li>URL ( (if the job is an online or hybrid meeting, your <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/set-calendar-module-preferences\/#zoom\">Zoom meeting preferences<\/a> are automatically included \u2014 which you can override as needed)<\/li>\n<li>Notes and warnings about the location (if the job is a Zoom\/hybrid meeting, the Notes field for remote locations will automatically include the meeting ID, passcode, and dial-in phone numbers)<\/li>\n<\/ul>\n<h3><strong>Additional<\/strong><\/h3>\n<p>Section fields include miscellaneous info like:<\/p>\n<ul>\n<li>Your own codes for jobs<\/li>\n<li>If the job was rescheduled, the date of the original job \u2014 includes link to previous job\u2019s information<\/li>\n<li>If the job is linked, the job it is linked to \u2014 includes link to linked job\u2019s information<\/li>\n<li>Sales Representative \u2014 includes link to sales rep\u2019s information<\/li>\n<li>How you got the job \u2014 referral, repeat client, etc.<\/li>\n<li>Unlimited notes about the job \u2014 includingscheduling, confirmation, resource notification, production\/billing that are automatically shared with the appropriate people<\/li>\n<\/ul>\n<h3 id=\"parties\"><strong>Parties<\/strong><\/h3>\n<p>Section fields include each party\u2019s:<\/p>\n<ul>\n<li>Company information<\/li>\n<li>Role \u2014 including which side and attendance<\/li>\n<li>Access to job information<\/li>\n<li>Billing information \u2014 including 3rd party details plus insurance information and <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/billing\/export-invoices\/\">e-billing<\/a><\/li>\n<li>Requested services<\/li>\n<\/ul>\n<h3><strong>Specialties<\/strong><\/h3>\n<p>Section lists any specific expertise required for the job.<\/p>\n<h3><strong>Award Points<\/strong><\/h3>\n<p>Section is a sub-function in jobs for allotting <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/set-preferences-for-invoices-ledes-billing-rewards\/#points\">reward points<\/a> to the job parties.<\/p>\n<h3><strong>Tasks<\/strong><\/h3>\n<p>Section lists any parts of the job that require a separate resource and includes:<\/p>\n<ul>\n<li>Resource assigned<\/li>\n<li>Dates task was assigned, when it\u2019s due, when the resource was notified, when acknowledged by the resource, current status, when the resource checked in at the job location, if canceled when, and when it was completed.<\/li>\n<\/ul>\n<h3><strong>Repository<\/strong><\/h3>\n<p>Section includes any <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/production\/repository\/\">files uploaded<\/a> to the job. (You can also upload files to individual tasks in the job.)<\/p>\n<h3><strong>Notes Log<\/strong><\/h3>\n<p>Section includes internal notes and reminders about the job added by you, your staff, and automatically by RB9.<\/p>\n<h2 id=\"actions\">Find jobs in your RB9 database<\/h2>\n<p>You can look up existing jobs several ways:<\/p>\n<ul>\n<li>Use search parameters to display a <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/jobs-list-view\/\">list of jobs<\/a>.<\/li>\n<li>Page through a <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/jobs-monthly-view\/\">monthly calendar<\/a> using optional search parameters to limit the jobs displayed.<\/li>\n<li>Page through a <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/jobs-weekly-view\/\">weekly calendar<\/a> using optional search parameters to limit the jobs displayed.<\/li>\n<li>View the <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/cases\/\">jobs tied to a case<\/a> in a list.<\/li>\n<li>Outside of the calendar you can use search parameters that are relevant to the function you are in to look up jobs. For example in <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/production\/turn-in\/\">Turn In<\/a> you can search for jobs by number, date(s), status(es), case, resource, and\/or business unit(s).<\/li>\n<\/ul>\n<h2>Actions within a job<\/h2>\n<h3><strong>Within a job, you can:<\/strong><\/h3>\n<ul>\n<li><strong>Update information<\/strong> in any section.<\/li>\n<li><strong>Upload files<\/strong> to the job and its related tasks.<\/li>\n<li><strong>Confirm the job<\/strong> with the client.<\/li>\n<li><strong>Reschedule or cancel the job.<\/strong> RB9 will prompt you to notify the ordering party and any assigned resources. If the job is a Zoom meeting, the Zoom info (like ID and passcode) will remain the same for rescheduled jobs. If it is canceled, the Zoom meeting is automatically deleted by RB9.<\/li>\n<li><strong>Copy the job<\/strong> to create a new one with all of the same information except the date.<\/li>\n<li>When creating a new job <strong>set up multiple jobs at once<\/strong> for different days \u2014 or even multiple times in the same day(s).<\/li>\n<li><strong>Add the job to a <\/strong> <strong>case<\/strong>\u00a0and have it inherit case information like parties to the case.<\/li>\n<li><strong>Create a linked job<\/strong> that includes all of the job information to use for a service you will bill separately (such as video of a depo). When confirming or canceling a job, it will alert you if there is a linked job so you can update that one too.<\/li>\n<li><strong>Add tasks,<\/strong> set task deadlines (you can override the default due dates set from the ordering firm\u2019s preferences or your BU\u2019s preferences), assign resources to tasks, and manage tasks.<\/li>\n<li><strong>Change the job\u2019s status<\/strong>\u00a0using shortcuts or automatic updates for some statuses.<\/li>\n<li><strong>Manage job parties\u2019 access<\/strong> to job information and files on RB Connect.<\/li>\n<li><strong>Add third-party and insurance billing information<\/strong> for job parties.<\/li>\n<li><strong>Include any party\u2019s service requests<\/strong> for the job.<\/li>\n<li><strong>Find information<\/strong> about the contact, firm, resource, and job location \u2014 including contact information and driving directions.<\/li>\n<li><strong>Begin production<\/strong> <strong>turn-in<\/strong><strong>.<\/strong><\/li>\n<li><strong>Export job data for other uses.<\/strong> You can export the information displayed in the Parties, Specialties, Award Points, Tasks, Repository, and Notes Log panes as\u00a0<em>Excel<\/em> spreadsheets or CSV(comma-separated values) files to save, print, share, or use in other applications.<\/li>\n<\/ul>\n<p><strong>TL;DR: RB9 jobs are depos or other services you provide that require separate resources \u2014 such as court reporters. They can be attached to a case to share information or stand alone.<\/strong><\/p>\n<h4>RB9 concepts in this lesson<\/h4>\n<p><strong>Award Points: <\/strong>Used to encourage clients to book with your\u00a0agency by rewarding them with points for different services. If you\u00a0have RB Connect, you can allow contacts to <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/connect\/fulfill-point-redemption-orders\/\">request point\u00a0redemptions online<\/a>.<\/p>\n<p><strong>Business Unit (BU):<\/strong> One of your company\u2019s revenue centers or any entity in your business that you want to track separately \u2014 such as branch offices, other companies you own, affiliates, and profit-sharing operations.<\/p>\n<p><strong>Contact:<\/strong> Person who works for a firm you do business with \u2014 such as attorneys, paralegals, secretaries, legal assistants, claim adjusters, and court clerks.<\/p>\n<p><strong>Firm:<\/strong> Business you provide services to \u2014 usually law firms, but can also be other court reporting firms, vendors, insurance companies, corporate clients, and courts.<\/p>\n<p><strong>Job Status:<\/strong> Stage a job is in, e.g., New or Cancelled. You can designate your own job statuses in RB.<\/p>\n<p><strong>Job Type:<\/strong> Categories of jobs requested by clients \u2014 such as Deposition or Real-Time.<\/p>\n<p><strong>Linked Jobs:<\/strong> For services you will bill separately \u2014 such as video done by a third party of a depo \u2014 set up a linked job instead of a task. Linked jobs are separate jobs on the calendar, but because they are tied together you will be notified when a depo is confirmed that there is a linked video job, so you can confirm the linked job. Or if the depo is canceled you can cancel the video job too and notify the videographer.<\/p>\n<p><strong>Location:<\/strong> Place where jobs occur \u2014 such as court rooms, hospitals, schools, doctors\u2019 offices, or private residences.<\/p>\n<p><strong>Location Type:<\/strong> Categories of locations \u2014 such as doctor\u2019s office or private residence.<\/p>\n<p><strong>Notes Logs:<\/strong> Notes entered either by a user or automatically by RB9 appear in chronological logs in the database record where they occurred \u2014 such as a case, job, invoice, or entity.<\/p>\n<p><b>Ordering Contact:\u00a0<\/b>Contact at the firm that is\u00a0responsible for a job with your company. Can be different from the\u00a0scheduling contact (Scheduled By).<\/p>\n<p><b>Ordering Firm:\u00a0<\/b>Firm that is\u00a0responsible for a job with your company.\u00a0Can be different from the\u00a0Scheduling Firm.<\/p>\n<p><b>RB Connect:<\/b> Online repository, calendar, and access to your office for clients and resources. <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/plug-ins\/online-offices-for-clients-reporters-more\/\">More &gt;<\/a><\/p>\n<p><strong>Repository:\u00a0<\/strong>RB9 has 9 repositories where you store files for safekeeping and quick retrieval. When you store files in a job, they are in RB9\u2019s Job Repository. If you have RB Connect you can give clients and\/or resources access to specific repository files.<\/p>\n<p><b>Resource:<\/b> Person or thing that provides your business with a service \u2014 such as reporters, videographers, interpreters, scopists, account executives, other agencies that cover jobs for you, or a conference room.<\/p>\n<p><b>Scheduling Contact:\u00a0<\/b>Contact who initiates a jobs with your company. Can be different from the Ordering Contact.<\/p>\n<p><b>Scheduling Firm:\u00a0<\/b>Firm that initiates a jobs with your company.
