{"id":4074,"date":"2022-12-20T13:21:18","date_gmt":"2022-12-20T21:21:18","guid":{"rendered":"https:\/\/www.omtiblog.com\/reporterbase101\/?p=4074"},"modified":"2026-04-14T13:18:29","modified_gmt":"2026-04-14T20:18:29","slug":"tasks-monthly-view","status":"publish","type":"post","link":"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/tasks-monthly-view\/","title":{"rendered":"Monitor tasks in a calendar format"},"content":{"rendered":"<h6>Lesson #161<\/h6>\n<h5>Calendar \u2013 Tasks (Monthly View) function<\/h5>\n<p>Similar to <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/jobs-monthly-view\/\">Jobs (Monthly View)<\/a>, you can <strong>view <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/what-is-a-task-in-rb9\/\">tasks<\/a> as items on an interactive calendar page<\/strong>\u00a0in this function. The other view, <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/tasks\/\">Tasks (List View)<\/a>, displays<span class=\"special\"> tasks <\/span>in a grid.\u00a0You can use either Tasks function to monitor and manage tasks.<\/p>\n<h2>Monitor tasks<\/h2>\n<p>See if tasks have been designated, assigned, and acknowledged. Monthly View displays jobs with tasks in a calendar page format so you can see a month\u2019s work schedule at a glance. If your browser window isn\u2019t large enough to display the whole month, the calendar will scroll so the current week is visible as the default view.<\/p>\n<p>Monthly View only displays jobs that have tasks. Due to size constraints Monthly View displays limited information about the jobs on the calendar page. You choose in <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/set-calendar-module-preferences\/#tasksmv\">System Preferences<\/a> which information you want to see (either job number or task\/job start time and either resource assigned or task name) and how many tasks per day (up to 10) are listed in each day\u2019s square.<\/p>\n<p>Jobs listed are color coded by job status and canceled jobs are also designated with a strikethrough. RB9 comes with default sets of job statuses and task types, which you can <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/lists\/#jobs\">customize by adding, editing, and deleting entries<\/a>.\u00a0You can also choose which colors represent different job statuses, including different colors for light or dark mode displays, in System Preferences.<\/p>\n<p>The default calendar displays the current month by default. You can page back and forth to other months or jump to any month using the navigation bar.<\/p>\n<p>Monthly View resizes dynamically to your browser window size but if the window is too small vertically for the minimum size calendar page, the calendar page will scroll so the current week is visible as the default view. You can scroll the page and the top navigation bar will always remain accessible so you know which month you are in and can navigate to other months or back to today\u2019s date.<\/p>\n<p>Use search criteria to change the jobs shown. Search criteria in Monthly View includes:<\/p>\n<ul>\n<li>Job date or order date<\/li>\n<li>Task status and type<\/li>\n<li>Assigned resource<\/li>\n<li>Job\u2019s priority level<\/li>\n<li>Type of resource required<\/li>\n<li>Job status and type<\/li>\n<li>Your company\u2019s business unit<\/li>\n<li>Related case<\/li>\n<li>Include canceled tasks or not<\/li>\n<\/ul>\n<p>Rolling over a job number in the calendar pops up basic information about the task, job, and case. Clicking the bar in a day\u2019s box displays all tasks for that day in a list similar to List View.<\/p>\n<h2>Manage tasks<\/h2>\n<p>Clicking a hyperlink in Monthly View opens the job detail screen with the View Task panel already open so you can see complete task details and update if needed. You can do everything from Monthly View like you do from List View:<\/p>\n<ul>\n<li>Add an overlooked task to a job.<\/li>\n<li>Enter start and end times for a task that are different from its related job.<\/li>\n<li>Assign a resource to a task which RB9 records in the task\u2019s Notes Log. If the scheduling client has preferred resources they appear at the top of the resource list. If the scheduling client has a list of blocked resources RB9 will alert you if you attempt to assign one and not allow the assignment. When a resource is assigned any warning about them appears beneath their name in the Task panel.<\/li>\n<li>Notify resources when they are assigned.<\/li>\n<li>Remind resources of assignments by resending notifications.<\/li>\n<li>Automatically record the current date and time when a task was acknowledged by a resource.<\/li>\n<li>Remove a task\u2019s acknowledged date and time with one click if a mistake was made.<\/li>\n<li>Update the related job\u2019s information including notes, contact information, location, and parties.<\/li>\n<li>Remove a resource from a task which RB9 records in the task\u2019s Notes Log.<\/li>\n<li>Upload task-related files to a task\u2019s repository for assigned resources to download.<\/li>\n<li>Update a task \u2014 such as setting resource acknowledgements\u2019 date and time manually or entering page estimates. If you change a task\u2019s start or end time RB9 will record the details in the related job\u2019s Notes Log.<\/li>\n<li>Delete a task if no resource has been assigned.<\/li>\n<li>Cancel a task if a resource has been assigned.<\/li>\n<li>Reactive a canceled task and assign a new resource (you can cancel and reactive a task in one click if you are reassigning resources).<\/li>\n<li>Begin production turn-in.<\/li>\n<\/ul>\n<p>When you cancel a task<span class=\"special\">\u00a0the assigned resource is automatically added back to your available resources<\/span> list for new assignments and RB9 prompts you to alert the resource of the cancellation. In addition RB9 keeps track of when tasks were canceled. This will be helpful in cases where there is a cost incurred in late cancellations \u2014 such as a hotel\u2019s conference room: You will have a paper trail to back up any cancellation fees charged to your client.<\/p>\n<p><strong>TL;DR: Use the Tasks (Monthly View) function to monitor and manage tasks in a calendar page layout.<\/strong><\/p>\n<h4>RB9 concepts in this lesson<\/h4>\n<p><strong>Blocked Resource:<\/strong> Resource that a particular firm or contact does not want assigned to tasks on jobs they schedule or order from you.<\/p>\n<p><strong>Business Unit (BU):<\/strong> One of your company\u2019s revenue centers or any entity in your business that you want to track separately \u2014 such as branch offices, other companies you own, affiliates, and profit-sharing operations.<\/p>\n<p><strong>Job:<\/strong> Usually the reporting of a deposition but can also be any kind of service you provide with your reporters or other resources. <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/jobs-concept\/\">More &gt;<\/a><\/p>\n<p><strong>Job Status:<\/strong> Stage a job is in, e.g., New or Cancelled.
