{"id":45,"date":"2020-09-04T14:24:03","date_gmt":"2020-09-04T21:24:03","guid":{"rendered":"http:\/\/www.omtiblog.com\/reporterbase101\/?p=45"},"modified":"2026-06-15T16:12:46","modified_gmt":"2026-06-15T23:12:46","slug":"overdue-task-report","status":"publish","type":"post","link":"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/overdue-task-report\/","title":{"rendered":"Notify resources their work is overdue"},"content":{"rendered":"<h6>Lesson #17<\/h6>\n<h5>Calendar \u2013 Send Overdue Tasks Report function<\/h5>\n<p>In addition to monitoring the tasks resources are working on with the <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/analyze-resources-workloads\/\">Tasks in Progress<\/a>\u00a0function, you can <strong>give each resource their own prioritized To-Do list of outstanding tasks<\/strong> with the Send Overdue Tasks Report. This static report lists the tasks for which each resource has missed their deadlines in chronological order \u2014 and you can email any resource their list of overdue tasks directly from this function.<\/p>\n<h2>Get an overview of overdue tasks<\/h2>\n<p>Generate a list of all resources with outstanding jobs with one click then email everyone their To-Do lists with a couple of clicks more. Or use the search filters to narrow the list to a single resource\u2019s workload, jobs outstanding on a case, or other criteria. Search criteria include:<\/p>\n<ul>\n<li>Resource<\/li>\n<li>Job Type<\/li>\n<li>Task<\/li>\n<li>Case<\/li>\n<li>Task Due Date range<\/li>\n<li>Business Units<\/li>\n<\/ul>\n<p>You can sort your results in the grid by one or more columns in ascending or descending order but when you exit the function, RB9 will revert back to the default order. Export the list as an <em>Excel<\/em> spreadsheet or\u00a0a CSV (comma-separated values) file to save, print, share, or use in other applications.<\/p>\n<p>You can view and update any resource\u2019s details from the list and preview their overdue tasks report. RB9 generates the resource\u2019s report in chronological order, oldest task first.<\/p>\n<h2>Hide tasks that don\u2019t need turning in<\/h2>\n<p>Some parts to a job that require separate resources \u2014 such as a conference room or catering \u2014 don\u2019t need a turn-in deadline. If you designate these kinds of tasks as \u201cNo Turn-in\u201d when setting them up, they will not appear in your Tasks in Progress or Send Overdue Tasks Report results.<\/p>\n<h2>Email reports to whomever needs a reminder<\/h2>\n<p>You can email Overdue Task Reports to all resources, a single\u00a0resource, or select a set of resources manually from the list of resources with overdue work product.<\/p>\n<p>Before sending the reports to resources use <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/set-calendar-module-preferences\/\">System Preferences<\/a> to create one or more email templates for attaching the PDF reports to. Customize subject lines and messages, include any text you wish in the templates, embed contextual RB9 data fields such as the resource\u2019s name and number of overdue tasks, add images, and style the text with fonts, text treatments, sizes, and colors. If you create more than one template, designate one as the default. You can select a different template, \u00a0edit the email, and attach additional files on the fly when you send the report.<\/p>\n<p>RB9 automatically logs the date, time, and number of tasks in the resource\u2019s Notes Log.
