{"id":67,"date":"2020-09-04T15:54:03","date_gmt":"2020-09-04T22:54:03","guid":{"rendered":"http:\/\/www.omtiblog.com\/reporterbase101\/?p=67"},"modified":"2024-05-13T18:17:05","modified_gmt":"2024-05-14T01:17:05","slug":"repository","status":"publish","type":"post","link":"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/production\/repository\/","title":{"rendered":"Archive and manage files electronically"},"content":{"rendered":"<h6>Lesson #27<\/h6>\n<h5>Production \u2013 Repository function<\/h5>\n<p>In RB you can <strong>store documents linked to a case, job, task, witness, invoice, firm, contact, location, resource, or all resources in\u00a0their related repository.<\/strong><\/p>\n<p>In the Repository function you can:<\/p>\n<ul>\n<li>Search for files in a single repository or across all repositories.<\/li>\n<li>Search for files by name, file type(s), job\/invoice\/order\/upload date(s), who uploaded the file, job\/ invoice number, case, and\/or related firm\/contact\/resource\/location.<\/li>\n<li>Classify files for proper user access and availability.<\/li>\n<li>Download\u00a0files for viewing, archiving, or emailing.<\/li>\n<li>View who has downloaded a file and when.<\/li>\n<li>Delete files you no\u00a0longer need to store.<\/li>\n<li>Upload files to the All-Resource repository to share with your resources.<\/li>\n<li>Customize how the Repository results grid looks.<\/li>\n<li>Save your custom grid as your default. Your customizations do not affect other users and you can restore the original RB grid layout anytime.<\/li>\n<li>Export the list of repository files as an <em>Excel<\/em> spreadsheet or\u00a0a CSV(comma-separated values) file to save, print, share, or use in other applications.<\/li>\n<\/ul>\n<h2>Classify files<\/h2>\n<p>In the Repository function you can classify individual files for proper user access and availability. Set what types of users can access a file (office, client, resource, or some combination), in which functions the file will be accessible, what kind of file it is, and if access via\u00a0<a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/plug-ins\/online-offices-for-clients-reporters-more\/\">RB Connect<\/a>\u00a0is permitted. If multiple files will have the same file type and\/or RB Connect access, you can set them all at once.<\/p>\n<h2>Give resources access to same files<\/h2>\n<p>In addition to the Resource repository where files uploaded to individual resources\u2019 repositories are stored, RB has an All-Resource repository for files you want to share with all resources. Instead of loading generic files \u2014 such as blank billing sheets, copy order forms, and instructions \u2014 to each individual resource\u2019s repository or each job, you can upload the file(s) once to the common All-Resource repository for all resources to access.<\/p>\n<p>If you want to include certain generic files with <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/calendar\/sendf-assignment-notifications-cancellations\/\">Assignment Notifications<\/a>, upload the files to the All-Resource repository and set their file type so they will attach automatically to each Assignment Notification you send out, without having to upload each file to each job.<\/p>\n<h2>Customize how you view your Repository<\/h2>\n<p>The grid in which you view Repository listings is customizable to your individual preference. You can:<\/p>\n<ul>\n<li>Re-arrange the order of the columns so you can have the information most important to you in the most prominent place.<\/li>\n<li>Designate up to 10 columns as \u201csticky,\u201d meaning they do not move when you scroll across a long grid so they are always visible.<\/li>\n<li>Stretch or shrink the width of columns to better fit the information presented.<\/li>\n<li>Hide any columns you don\u2019t want to see in the results.<\/li>\n<li>\u00a0Choose which column(s) to sort results by. If you select more than one column, choose in what column order to sort the list and in\u00a0ascending or descending order in each selected column.<\/li>\n<\/ul>\n<p>When you have arranged your Repository the way you want it to look, you can save your layout so RB will display it this way each time you access it.
