{"id":85,"date":"2020-10-01T16:08:58","date_gmt":"2020-10-01T23:08:58","guid":{"rendered":"http:\/\/www.omtiblog.com\/reporterbase101\/?p=85"},"modified":"2026-04-14T09:15:51","modified_gmt":"2026-04-14T16:15:51","slug":"export-invoices","status":"publish","type":"post","link":"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/billing\/export-invoices\/","title":{"rendered":"Export invoices in LEDES 1998B format"},"content":{"rendered":"<h6>Lesson #36<\/h6>\n<h5>Billing \u2013 Export Invoices function<\/h5>\n<p>If you have clients that require LEDES-compliant electronic billing, first set up your RB9 LEDES preferences for <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/set-up-billable-services\/\">service items<\/a>\u00a0and <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/modules\/setup\/set-preferences-for-invoices-ledes-billing-rewards\/\">invoices<\/a>. Then <strong>enter your clients\u2019 codes \u2014 such as their Client Matter No. and Client ID \u2014 on the case party, job party, or invoice level. When you generate invoices for the related jobs, they will have the proper UTBMS codes and you can export them in LEDES 98B format,<\/strong> which is the most commonly used LEDES\u00a0format,\u00a0and email the text file to the client.<\/p>\n<p>After posting invoices, search for a particular firm\u2019s invoices in Export Invoices. The default is invoices generated yesterday\u00a0but you can choose any date range. You can also search for a firm\u2019s invoices by post date instead of invoice date. Restrict your search results further by filtering for a single case and\/or your company\u2019s business units.<\/p>\n<p>Invoices in the results gird display their information in all of the search categories plus:<\/p>\n<ul>\n<li>Invoice number<\/li>\n<li>Invoice amount<\/li>\n<li>Bill To contacts and firms (clients)<\/li>\n<li>Sold To clients<\/li>\n<li>Job number<\/li>\n<li>Job date<\/li>\n<\/ul>\n<p>You can sort your results in the grid by one or more columns in ascending or descending order (but when you exit the function, RB will revert back to the default order). Export the list as an <em>Excel<\/em> spreadsheet or\u00a0a CSV (comma-separated values) file to save, print, share, or use in other applications.<\/p>\n<p>You can view any individual invoice\u2019s details, edit some of its information, upload\/download\/email\/manage its repository files, and make notes in its Notes Log.<\/p>\n<p>Export any or all invoices listed in Export Invoices results in LEDES 1998B\u00a0format to your device as a .txt file, which\u00a0you can then validate and email to your client from your device.<\/p>\n<p><em>NOTE: This is an RB9 Standard-only function. It is not included in RB9 Lite.<\/em><\/p>\n<p><strong>TL;DR: Export invoices in LEDES 98B format for clients who require electronic billing that complies with LEDES standards.<\/strong><\/p>\n<h4>RB9 concepts in this lesson<\/h4>\n<p><strong>Bill To Contact\/Firm:<\/strong> The contact\/firm responsible for paying the invoice for a job.<\/p>\n<p><strong>Business Unit (BU):<\/strong>\u00a0One of your company\u2019s revenue centers or any\u00a0entity in your business that you want to track separately.<\/p>\n<p><strong>Job:<\/strong> Usually the reporting of a deposition but can also be any kind of service you provide with your reporters or other resources, such as realtime, videoconferencing, or read &amp; sign. <a href=\"https:\/\/www.omtiblog.com\/reporterbase101\/concept\/jobs-concept\/\">More &gt;<\/a><\/p>\n<p><strong>Notes Logs:<\/strong> Un-editable internal-use only notes entered either by a user or automatically by RB appear in chronological logs in the database record where they occurred \u2014 such as a case, job, invoice, or entity.<\/p>\n<p><strong>Service items:\u00a0<\/strong>Regular charges that you bill to your clients. Service items are listed on your invoices to provide\u00a0itemized details for your clients and third-party payers.
