Clients can search through 100s of transcripts online quickly

With RB Connect’s Full-Text Search plug-in, your clients can search through 100s of transcripts, exhibits, invoices, etc., in seconds online. Clients can search for text in different types of files in their online repositories, and they can also search in Transcript Packages, the transcript format designed to work in browsers and on mobile devices that bundles transcripts with their exhibits and other related files.

Index files you want clients to search

With this optional plug-in to RB9 and RB Connect, you build indexes of clients’ files in the RB9 repository so your clients search an index — not the actual files — in their RB Connect repository. This saves them a significant amount of time over non-indexed searches, in which they would have to download files to search.

You choose which files to index. You can choose any files you store in the RB9 repository, no matter what type. You can index most text-based files, with the exception of some proprietary file formats. Full-text indexes you create automatically upload to your repository.

(We do not recommend indexing all files because the monthly charge for the Full-Text Search plug-in is based on the storage space used by the indexes. You can use the same function to delete old indexes to save on storage space.)

Use the RB9 Create Full-Text Search function to index files. You can index files from any or all client-related repositories (case, job, invoice, or witness), and use various search filters to refine the list of files to select from to index. Files you have indexed are marked so when you no longer need them, you can remove their indexing.

Using Full-Text Search is even easier with Transcript Packages — no building indexes necessary — all Transcript Packages are automatically indexed.

How it works on your clients’ side:

Your clients can search for content in indexed files in their online repository three ways:

  • All of the words
  • Any of the words
  • The exact phrase

Your client enters text they want to find. They can search based on as few as three characters, with a minimum of two characters in each word to be searched.

Their search results are displayed with file information first, such as the job number and date, and the file name. Then an excerpt within each file where the text was found is listed. Text that matches the search criteria is highlighted.

When your client locates the right file, they can view/ download it.

In Transcript Packages, your clients have the same search options, but search returns a list of files that include the desired text. When your client clicks a hyperlinked file name, the Transcript Package appears with the first instance of the searched-for text selected and highlighted. Further instances of the text in the transcript are highlighted and the total number of instances appear at the top with buttons to navigate through all the instances.

If you have the RB Connect Mobile plugin, then your clients can search for text on their smart phones and tablets in a layout optimized for mobile devices.

With RB Connect Mobile, your clients can do everything they already do in your online offices — such as viewing their calendars, transcripts, and supporting files — on their mobile devices.

The difference is that they can look up information in an easy-to-read interface designed for mobile use, instead of having to pinch and zoom the standard browser layout reduced to fit the smaller screens of smartphones and tables. Your resources can also use RB Connect Mobile to do everything on their mobile devices that they do in RB Connect except create master word lists and turn in jobs.

All anyone needs to access your RB Connect Mobile site is a smart phone, tablet, or other mobile device with Internet access through a browser, and your RB Connect URL.

Since RB Connect Mobile is not an app, they do not have to search through app stores to find it, and there is nothing to download.

They can bookmark the URL to the home screen of their mobile device if they like, so they can access their mobile office with one click.

All of RB Connect’s client-side functions are available in RB Connect Mobile, so your clients can access everything in a mobile environment. Reporters and other resources, such as videographers, scopists, and interpreters, can access almost all RB Connect resource-side functions in RB Connect Mobile except they cannot turn in jobs or compile master word lists.

RB Connect, formerly RB Web, is the optional RB plug-in that gives clients, reporters, and others online access to essential information in your office, like schedules, job locations, transcripts and other case files, and billing information.

With RB Connect, information is available instantly whenever your clients and resources want it with no effort on your part. And it’s always up to date because it comes directly from your RB9. Plus RB Connect reduces production and delivery costs because clients and resources can download information as needed.

In addition to looking up and downloading information, your clients can schedule jobs with you, order transcripts, pay invoices, and work with interactive transcripts. If you offer client loyalty awards, they can manage and redeem points. Your reporters and other resources can request & acknowledge jobs, turn in jobs online, and request time off.

Customize to meet your needs

Customize your RB Connect before opening it to your clients and resources. You can:

  • Change the site’s content to communicate your message, share company news, provide extra help, etc.
  • Change the site’s appearance (colors, logos) to match your company website.
  • Choose which functions clients and resources can access.
  • Set up lists of services clients and resources can select from.
  • Customize automated emails clients and resources receive.

Because RB Connect is browser based, your clients and resources do not have to install anything on their computers or laptops to access your RB Connect. All they need is your RB Connect URL and their sign-in credentials. It works in all major browsers and on any operating system. They can customize some options in their individual RB Connect accounts, such as whether to view their job calendar as a list or wall calendar style.

Users can change their password themselves whenever they wish or if they forget their password. And you can offer social media sign-in as an option so they have one less password to remember.

Increase site security

You can incorporate one or more of these measures to make your RB Connect site more secure:

  • Require users to periodically update their password. You choose how often they must reset their password and whether or not you allow them to reuse the same password.
  • Lock user out of the account after x number of incorrect log-in attempts. You set the number of attempts you will allow, and the user must contact you to unlock their account.
  • Require strong passwords.
  • Add two-factor authentication (2FA), which requires that the user enter a verification code (received on their phone or in an email) along with their ID and password before accessing the site on a new device. The end user can choose to verify their device each time or recognize their device as a trusted browser.

If you have RB9 set up and working, you are ready to add RB Connect. RB9 and RB Connect reside in the cloud, so you do not need any hardware or software except a computer, laptop, or mobile device connected to the Internet through one of the major browsers to run RB9 and RB Connect.

All anyone needs to access your RB Connect site is a computer, laptop, or mobile device with Internet access through a browser, and your RB Connect URL, which is similar to your RB9 URL. It will have the same base name, but end in “.contact” for your clients and “.resouce” for your reporters and other resources.

Create custom reports with your RB data

If you are on RB9, you cannot create custom reports in other applications using your RB data without the Data Reader plug-in. This is due to security issues with directly connecting to RB databases in the cloud. Data Reader solves that problem with a dedicated connection to your RB database in the cloud so you can use your RB information in your own reports or other applications.

DIY reports in 3rd-party applications

If you want to view your RB data in a way that is not already available in RB9, such as a marketing or financial report that is not part of RB9, add Data Reader to give yourself remote access to your data.

With Data Reader, you log into your RB database in the cloud from a third-party application, such as Crystal Reports or Microsoft Access, to run reports or perform other functions with your RB data.

You do not have to install anything on your end to use Data Reader. And like all RB plug-ins, you subscribe to it on a monthly basis and can cancel it at any time.

Secure access

Data Reader is a secure way to access your RB database from outside RB9 because:

  1. Data Reader is read-only data, meaning you cannot write to your RB database from your outside applications or create any objects in SQL Server.
  2. Only workstations/IP addresses (depending on which Data Reader version you have) that you register with OMTI can access your database.

Plug-in options

Data Reader comes in two sizes:

Per Workstation

Version for creating custom reports on individual workstations. Good for companies who write reports on up to 3 workstations. Or for companies with remote offices/workers who need to write reports.

Works for only the named workstation( s) you register with OMTI. A license cannot be shared, so if you want to write reports on a desktop computer and your laptop, you will need 2 licenses.

Per IP

Version for companies that need to have four or more workstations on the same IP address access their database outside RB9.

Allows all workstations in an office to access your RB data. The public IP you specify can access your database. If you want to create custom reports on 4 or more workstations In your office, Data Reader – Per IP will be cheaper.

NOTE: Sensitive information, such as Tax ID and Social Security numbers, are encrypted and will not be usable data outside RB9.

Which version is right for you?

Most companies will probably need Data Reader on only one workstation to generate reports that can then be emailed to everyone who needs to read the report.

If you do require multiple workstations to access your RB data through Data Reader, there are no bandwidth limitations per any plug-in, so there will be no performance issues in relation to how many concurrent connections you make.

If you ever want to switch your Data Reader registration to a different workstation or public IP, ask us and we can process your request within one business day.

NOTE: Data Reader is not available with RB Lite.
